Houses in the city at present are getting smaller and smaller while the need for space is getting bigger and bigger. For a work-at-home mommy like me, we have no choice but to utilize our space to work for our multi-tasking roles.

I, for one, am a mother to a five-month old and there are times when in the middle of working, I have to prepare food and look after my kid.

For people like me, we have no choice but to work in the dining table. My husband hates this, as I have been known to leave my things in the corner while we eat.

If only I can build the following kitchen ideas in the future. (That’s my dream!)

This closely resembles the arrangement in my house. Except for the retractable computer (an iMac of course), the peek-a-boo drawer with printer and the couch-like arrangement of the seats. Oh, right! This is a completely different thing.

There’s 3 things I love about this: 1) you can do this in any dining area and 2) you don’t lose much valuable space because 3) you are making use of all available space!

My number one pet peeve is clutter. Coming close in second place is tangled cords. Try as I might, I really can’t get rid of both (although I am consciously doing it, at a minimum).

What I like about the kitchen office idea above is you can just shut the doors and voila! Say goodbye to any visual messy distractions.

Plus this design gets points for the many shelves – perfect for organizing stuff. And the door? Hmm, I can definitely see myself putting a sort of mood board here for my many ideas and Post-its. Love it!

Having a phone and computer station is just as important. When you get home, resist the urge to spend dinnertime on your cell phone as your sweetie chats with you about the day. Even if you think you’re hearing everything, odds are you aren’t. Commit to stashing your phone and computer in another room as soon as you get home from work. Keep the ringer on for important calls, but don’t sit around playing with your phone.

What do I like about it? I like that the lack of horizontal space is made up by utilizing every bit of vertical space. What’s more, since it is tucked away in the corner, it is perfect for every mommy’s me time when you don’t want your kids or the hubster disturbing you!

Your work space atmosphere directly affects productivity. But no matter how tastefully decorated or conducive the ambience of your work station, if the office furniture fails to perform its core function, then output will be reduced. Unless of course most of your work revolves outdoors.

Nothing is closer to the fact than cubicle denizens starting their day sitting, and ending it in the same position, often with very little variety of motion in between.

Centers for occupational health and safety do have standards for what makes an ergonomic chair.

Not everyone sits the same way, either as a direct result of personal habits or occupational requirements.

A chair intended for someone working in front of computers most of the time is different in design, and even materials, than an executive chair intended for managers who perform most of their tasks while reclined.

First, the office chair stress test

Keep in mind, however, that chairs have to achieve a set of criteria to be considered ergonomic. Since not everyone’s seating needs are the same, check that each office chair you buy, particularly for a large group of employees, passes this stress test:

  • Seat height adjustability — Will the office chair accommodate everyone, from the tallest person in your office to the shortest? Nothing strains the leg more than dangling it for hours on end, especially when the user in question is going to sit on it for the entire work day.
  • Backrest adjustability — People at work sometimes need to lean forward if they are in the thick of work, or lean back and close their eyes for a break. Office chairs should be flexible enough to accommodate this range of torso movement.
  • Seat depth — Nothing can be more inviting than to sink into a fluffy seat. But if that chair is going to be used by someone who should sit at attention, rather than recline, most of the time, then perhaps a shallower, firmer seat is more suitable than a deeper, cushier one.
  • Stability — Are the users going to move from one desk to another as they fulfill their tasks while on their tushies? Then their chairs have to support their frequent movements without throwing them out of their conveyance.

Apparently, choosing a chair is not as straightforward as it once was, not when too many people complain of backaches and carpal tunnel after a long day at work.

Making a purchasing decision requires sitting down on the chair in question and tinkering with its various contraptions, ideally by the very person who would sit on it 8 hours a day or more.

Bare Bones of an Efficient Office – Storage Part 4

I am a minimalist but a realist. I would love a near bare office with only a desk and chair but unfortunately there are things you need even though you don’t want them (kind of like braces). For example, if your job deals with a lot of documents you’ll need a filing cabinet.

I would go for a metal one because then I could mount the Boogie Board Jot on it or use magnets to fix notes. Did you know there are decisions to be made before you can buy a filing cabinet? And you thought you could get away with purchasing any old thing, shame on you.

Here’s some ideas about what decisions you need to make:

“Before you buy just any file cabinet, you must decide what type of documents you will be storing. This will determine the type and size of file cabinet you will need. Examples include: Letter Size (8.5 x 11 inches), Legal Size (8.5 x 14 inches). Special requirements (like locks, fire proof material, wood construction and casters for mobility) can also add to the cost of the file cabinets. How you want to store your files is mainly determined by the method that will allow you to make retrieval easy and fast.”

Storage is an important part of any smoothly run office and as I have said before, you can never have enough of it. I hope you have followed my earlier advice and invested in a desk with shelves, cabinets, drawers etc.

If not (you should know that I can never resist saying I told you so), you are probably going to need to buy additional shelves, book cases and/or cabinets for your space. I’ve found a good way to save space and have a neater office is to fix everything up on the walls.

It might seem a bit silly at first to put so much thought into such mundane matters but like we said in our efficient office furniture post your office is where those brilliant ideas happen!

Brilliant ideas happen everywhere too. Taking a shower, riding a mountain bike, picking up the shopping… Always be ready for them!

So think long term when investing in storage. Think of it like the hard drive of your computer – in one year from now it’ll probably be full!

The most important piece of furniture in your office space is the desk. All those brilliant ideas you have will be processed here. Your desk will see you through the late nights, bouts of irrational, impotent rage, periods of frustrating writer’s block, moments of creative genius and so forth.

This is why it is imperative you choose a desk which suits your needs and personality.

Golden rule number one when buying a desk is constantly reminding yourself that you can never have enough desk space. So make sure you don’t waste your money on a small, ornately carved, totally useless piece of junk, just because your fiancé thought it was cute!

Equally important as the desk is your chair. (Remember the uncomfortable chairs from school? Seriously what were they thinking?) Although you can buy them online, I would recommend going to an actual furniture store so you can try several different ones before deciding on one that is best for you.

As a long time sufferer of really bad chair choices, let me honestly say, your productivity has a direct correlation to how comfortable your derriere is.

But how to choose the best office furniture for your workspace?

Well we’ll get into some ideas below but before you do anything have a look at these adjustable height stand-up desks. Now there’s a unique approach. Here’s what they say:

I cannot stress enough the need for a proper chair in your work space. I have advised against it, but if you haven’t the time to go to a store for your chair, make sure to read all the specifications of any chair you pick online.

Also read every review like a hawk before placing your order. Possible checklist for your chair – arm rests, wheels, back support, neck support, changeable height, recline-ability (essential for those of us who like to lean right back!)

The best way to find your perfect chair is to walk in to your local furniture place and ‘test’ chairs by sitting in the best desk chairs you find. (I nearly fell asleep in one particular chair – I instantly knew then that was the perfect chair for me!)

So, you have finally mustered the courage to organise your workspace. Good for you. There are certain things you need to keep in mind before you start.

Think of your space as a blank canvas and everything you put in it should aid you in some way. Even the smallest of spaces, if lighted, furnished and organised properly, can be a joy to work in.

The first order of business is the lighting. Needless to say, it is very important in any indoor environment. If at all possible, set up your office in a room with a window. Sunlight not only adds cheer to the room, it will also help keep your spirits up.

And it doesn’t hurt that you have the option of going green and working by the natural morning light instead of wasting electricity by turning on the room’s lights.

There are many options available for lighting. You have to determine what sort of lighting best suits your needs. Here is an excerpt of an article written for lighting in the home office, but the basics are the same for any kind of workspace:

“Home office lighting is often overlooked as work starts to pile up. As backs ache, more attention is typically given to the right desk and chair but eye strain-induced headaches may go on for years before something is done. Before you settle in to a daily work routine, give your office lighting some thought. Lighting directly affects comfort and performance and properly managing light levels in the room will reduce fatigue and stress on your eyes.”

Consider sustainable lighting too?

“Sustainable lighting is lighting designed with energy efficient light sources. It seems like such a simple part of your workspace, one which you may not have paid attention to. But the lighting plays a major role in your productivity. There are a lot of factors to be considered when choosing the right kind of lights for your space. The following are snippets of an article on office lighting:

“Computer operators have different light requirements from workers who read hard copy documents. Glare and monitor screen reflections can produce visual discomfort. Individual differences affect light requirements. A 60 year-old worker requires up to 10 times more light than a 20 year-old worker.”

“The colour of light affects visual comfort and productivity. Several types of lighting are available. Full spectrum fluorescent lights are designed to mimic natural light but cost more than standard bulbs.”

“Illumination on the document should be relatively high, while lighting on the screen should be kept relatively low. Lighting should come from two directions on either side of the worker to reduce shadows and improve lighting consistency.”

Make a list of your lighting needs and then do some research.

Amazon has a large selection of lighting products, for instance, floor lamps, desk lamps, lamps with magnifiers etc. You can even find LED battery operated stick on tap lights which can be used to illuminate a dark shelf or a cabinet.

Pick and purchase items which come closest to satisfying all your requirements. I personally prefer a very well lit room for when I work. And I like white light as opposed to yellow. (For some mysterious reason yellow light gives me headaches).

In my humble opinion, it is best to go for energy efficient LED lights, they are bright, white and last much longer.
